POSITION SUMMARY: The Medical Clinic Back Office Lead will assist the Clinic Manager by supporting the effective delivery of patient care and service in back-office clinic operations. The Lead will oversee the medical back-office team, facilitating communications between clinical and non-clinical staff and ensuring efficient clinic operations, quality of care, and efficient patient flow. The lead will also assist the Medical Clinic Manager with assigned projects and tasks.
DUTIES AND RESPONSIBILITIES:
- Ensures patients and visitors are treated professionally and courteously.
- Communicates promptly and professionally with the patients, care team members, and Clinic Manager.
- Maintains clinical areas in a state of readiness for patient care by ensuring exam rooms are adequately stocked and ready for patient care.
- Assists medical practitioners with exams and procedures as requested.
- Follows clinical protocols with patient charting, required paperwork, and facility readiness.
- Cleans and sterilizes instruments after use per safety protocols.
- Leads by example to ensure patient and staff safety by creating a clean, neat, and well-maintained facility.
- Effectively trains and onboards new department staff and assists with interviewing and hiring, as needed.
- Collaborates with others to develop, update, and implement the Medical Assistant and vaccine training programs.
- Evaluates situations or issues presented with the ability to understand and prioritize while assisting with a resolution, using critical thinking and problem-solving skills.
- Ensures excellent customer service practices through the clinic, including handling patient grievances, complaints, and provider transfer requests.
- Manages and facilitates the ordering of supplies and manages inventory in cooperation with the Medical Front Office Lead.
- Assists in calling patients to remind them of pre-visit instructions or additional information before their appointments.
- Attends required meetings and participates in, or leads, meetings and committees as requested.
- Completes administrative tasks such as scheduling, writing workflows, and assisting with staffing.
- Mails patient correspondence, including follow-up visit reminders, laboratory paperwork, and no-show letters.
- Assists with timecard approvals at the request of the Clinic Manager on an as-needed basis.
- Monitors clinical tasks, testing, maintenance logs, and safety checks.
- Maintains strict confidentiality in sensitive matters.
- Assists with HR/personnel issues and takes the lead on such issues in the absence of the Clinic Manager, seeking input from the HR team as needed.
- Works with Facilities team to coordinate repairs and maintenance.
- Assists in special events coordination.
- Other duties as assigned.
QUALIFICATIONS, EDUCATION, AND EXPERIENCE:
- High school diploma or GED from an accredited body.
- Certified Medical Assistant training program completion with a minimum of two years’ work experience in a medical or clinical setting.
- Current CPR and First Aid certification.
- Valid Oregon Driver’s License without restrictions, comprehensive automobile insurance, and a safe driving record.
- Knowledge of laboratory and radiology preferred.
- Exemplary leadership, community relations, and customer service skills.
REQUIRED KNOWLEDGE, SKILLS and ABILITIES:
- Can demonstrate knowledge of infection and exposure control.
- Can demonstrate competency and accuracy in computer skills, including word processing, data entry, electronic medical records, and spreadsheet preparation.
- Can demonstrate general knowledge of medical terminology, Medicare, Oregon Health Plan, health insurance, managed care, and other funding sources.
- Can demonstrate knowledge of vaccines.
- Can exhibit effective verbal and written communication skills.
- Can demonstrate effective customer relations skills, demonstrate the ability to work with diverse groups in a stressful environment, display an understanding of group dynamics, and deal with stress effectively.
- Can demonstrate strong organizational skills and effective use of time.
- Willing to work flexible hours, including some evenings and weekends for special events.
PHYSICAL DEMANDS:
- Lifting, bending, reaching, pushing, carrying, sitting, and driving an automobile. Vision and hearing corrected to within normal range.
HAZARDOUS CONDITIONS:
- Exposure to infectious diseases and airborne pathogens. Contact with patients and occasional rude and/or angry encounters.
WORKING CONDITIONS:
- This position works in a busy environment with many interruptions, multiple demands, and people interactions.
- May require occasional travel to multiple sites.
